Our Priority is to make sure everyone in the group is safe and has a pleasant experience.

Payments and Cancellations

PAYMENT PROCEDURE

Depostit of 450.00 is non-refundable.

The 450 dollar non-refundable deposit is due three days after you reserve your space online. Your space on the retreat will be cancelled if your deposit has not been paid by this date.

DEPOSIT DUE: 3 days after registration

FULL PAYMENT Due: March.16th, 2023

A payment of 25 percent toward your retreat cost must be made by Dec. 16th, 2022, and full payment is due on or before the Feb.16th, 2023 due date or your retreat space will be cancelled and your spot will be given to anyone on the wait list.  If your space is not filled by the June 16th due date, any and all funds paid will not be refunded.

CANCELLATION PROCEDURE

DEPOSITS are Non-Refundable.

If you are unable to travel, cancellations should be made in writing and emailed 

genabrodie@brodiestudio.com

Only upon receipt of the cancellation, will the cancellation procedure be put into place. 

Cancellation Conditions should be covered by your Travel Insurance.

Cancellation must be received within ninety days of the retreat date (by Feb. 16th, 2023)

Cancellation Deadlines and Contingencies

Before Dec.16th:  450 dollar deposit. Non-refundable.

After Dec. 16th: 25 percent required payment plus deposit. Percentage will not be refunded if we do not find a replacement!

After the Feb. 16th 2023 date: Full payment required plus deposit Full Payment will not be refunded unless we find a replacement!

 

Please note: ALL Refunds, minus the 450 deposit, are contingent upon finding a replacement. 

 

 If Brodie Studio LLC has to Cancel

We would notify you of the cancellation at least 8 weeks before the start date. In the case of acts of God, war, disaster, or unforeseen circumstances, Brodie Studio LLC will return your full payment and deposit. Brodie Studio LLC cannot be held responsible for any personal expenses, such as airline tickets due to such cancellations.Photographic Consent

  • Photographic Consent

    Brodie Studio reserves the right to use pictures taken on the Brodie Studio Artist Retreat and Edinburgh Post Trip which may contain your image and your artwork but we will not identify your name without your consent. Brodie Studio owns the copyright to all pictures taken by them or on their behalf.

    We also reserve the right to use any comments clients make regarding our tours, and painting retreats on any questionnaires or letters in future promotional literature.

  • Indemnity and Liability

    Any trip, especially to our Artist retreat destinations, is potentially hazardous and involves personal risk. It is essential that all lawful directions and advice from our suppliers be followed. Brodie Studio LLC and any company acting on its behalf, accept no responsibility for any illness, accident or loss whatsoever incurred in the course or for any expense from such illness, accident or loss.

  • Insurance

    It is a mandatory booking requirement that all travelers take out comprehensive travel insurance. This should be done at the time your booking is confirmed and your deposit paid. All clients should be fully insured against accidents, all medical eventualities, repatriation, personal liability, cancellation, curtailment, and default. Why is travel insurance necessary? Because sometimes you have to cancel last minute, you get hurt far away from home, you’re in a fender bender, or you need help in a hurry. The reasons are endless! However, due to Covid-19, most countries are now requiring you to have travel insurance.     Brodie Studio LLC or any company acting on its behalf cannot be held responsible for loss or damage to baggage and personal effects. This should be covered by your travel insurance policy. You must give us the details of your travel insurance before you travel.

  • Safety Standards/Covid 19

    The requirements and standards of the country where your tour/retreat takes place are applied to the services of your retreat/tour and not those of other countries. The decision of the tour leader/host is final on all matters likely to affect the safety or well-being of any traveler, guide, or staff member participating in the trip. It is important to us that you and everyone attending the artist retreat is as protected as possible from Covid-19 and variants. We therefore REQUIRE proof of Covid-19 Vaccination. Masks may still have to be worn in various buildings, painting workshops, and at other locations throughout our retreat. Faliure to comply will result in your removal from the activity, workshop, or retreat..

  • Passport, Visa, & Immigration Requrements

    It is the sole responsibility of the client to ensure that all passport and visa requirements are fulfilled prior to departure. Passports must have at least 6 months validity from the date of your RETURN and two spare blank pages for the entry stamp and preferably more if several countries are being visited.

  • Covid Vaccination Card must be easily visable and reflect the required level of vaccinations to enter the country in which you are traveling.

    A return covid test must be taken with negative results before gaining entry back into the US. Please make sure you have taken the needed measures to ensure you are prepared if you test positive.

  • Health

    Your health is your own responsibility. Medical travel records, covid vaccinations and required and certificates must be brought with you. It is the responsibility of guests to advise Brodie Studio prior to the departure of any specific medical conditions or restrictions.

  • In the event you end up in difficulty of any sort during your Brodie Castle Artist Retreat or Edinburgh 2 Night Post Trip, we will provide you with appropriate assistance as soon as reasonably possible. We will also help to provide appropriate information on health services, local authorities, and consular assistance and to make distance communications, and to find alternative travel arrangements wherever applicable.

    Brodie Studio visits locations with remote destinations that sometimes cannot provide emergency and healthcare required for some health conditions. Our trip may not be suitable for people with certain disabilities, medical conditions, or significantly reduced mobility.

  • Dietary and Special Requests

    Dietary and special requests must be advised at the time of booking and we will endeavor to pass on any reasonable requests to the relevant supplier. This is not a guarantee that the request will be met. Failure to meet any dietary or special request will not be a breach of contract on the part of Brodie Studio. Brodie Studio will not be held responsible for any food allergy reactions, illness or death related to food allergy or otherwise.

  • Airline Responibility

    The airline concerned is not to be held responsible for any act, omission, or event during the time the guests are not on board their aircraft. The passenger tickets issued by the airline, when issued, will constitute the sole contract between the airline and the purchaser of these tickets and/or passengers.

    We regret we are not in a position to offer you any assistance in the event of airline delay. Any airline concerned may however provide refreshments etc. We cannot accept liability for any delay which is due to any failure to check-in or board on time or if you were denied boarding due to your own health or behavior.

  • Limited Parking

    There is very limited parking at the Laird’s Wing. We only have five spaces. Two of these are for our excursion vans. Please contact us if you are planning on renting a car and parking it at the Laird’s Wing.

  • Damage and Behavior

    You accept responsibility for any damage or loss you cause while traveling with Brodie Studio. Full payment for any such damage or loss must be made directly to the accommodation owner or manager or other supplier or to us as soon as possible. You will also be responsible for meeting any claims subsequently made against us and all costs (including legal costs) incurred by us as a result of your actions.

    We expect considerate behavior for other people and wildlife while at the retreat or on any location with Brodie Studio. If you behave in such a way as to cause or be likely to cause danger, upset or distress, we reserve the right to terminate your participation in a tour or the retreat in its entirety and will have no responsibility for any losses or expenses incurred as a result.

    This includes inconsiderate behavior towards others, and bullying or harassing behavior.

    SMOKING IS NOT ALLOWED! PERIOD! THIS INCLUDES VAPING or E-CIGARETTS. 

  • Smoking and Vaping: Not Allowed At All…PERIOD. IF you decide to smoke or vape, I will quickly ask you to leave the retreat! The smell of it will put me into a flare, I have Myasthenia Gravis. Priority is to make sure everyone in the group is safe and has a pleasant experience. If you smoke even just a little, then this retreat is NOT for YOU!

  • Hotel/Laird’s Wing

    The Laird’s Wing, hotels and visited locations will require that you agree to their terms and conditions as well as to the terms and conditions already listed above. Their cancellation procedures may also alter. In such a case their conditions will apply and supersede the terms and conditions of Brodie Studio LLC.

  • Complaints and Problems

    If you have any complaint about your retreat/painting destination/tour while away, or wish to tell us about a lack of conformity to what was promised, you must immediately inform your guide, or host, or the supplier of the service so that they can take action if possible. Any verbal notification must be put in writing and given to Gena Brodie Robbins or a representative/agent and the supplier as soon as possible. Most problems can be dealt with quickly. If you remain dissatisfied, however, you must write to us within 28 days of your return to the US or another country giving full details of your complaint.

  • Exceptional Circumstances

    We regret we cannot accept liability where we are prevented by exceptional circumstances to carry out the obligations under our contract with you or you otherwise suffer any damage, loss, or expense of any nature as a result of exceptional circumstances.

    Exceptional circumstances are situations which unavoidable and extraordinary, the consequences of which could not have been avoided even if all reasonable measures had been taken. Such situations may include actual or threatened war, riot, civil strife, terrorist activity, industrial dispute, natural or nuclear disaster, adverse weather conditions, fire, closure, restriction or congestion of airspace, airports, and ports, and all other events outside our control. Exceptional circumstances also include our or your home country's Foreign Office advising against all travel or all but essential travel to any country, region, or destination.

    In the event you end up in difficulty of any sort during your Brodie Studio Retreat, we will provide you with appropriate assistance as soon as reasonably possible. We will help to provide appropriate information on health services, local authorities, and consular assistance and to make distance communications, and to find alternative travel arrangements as may be applicable.

  • Changes in Informational Text, Itineraries, Meal Details, Workshops and Instruction

    All information in our retreat documents and on our website has been compiled with reasonable care and is published in good faith.

    While we will do our best to keep true to the published itineraries, the off site locations, on and off-site activities, meals, tours, workshop and instruction details are subject to change. Visiting Artists and art models sometimes have to cancel which is beyond our control, Public sites may be under construction or going through conservation procedures, or may suddenly close. The weather may also be a contributing factor to cauise a change in the itinerary. We reserve the right to do so and are not required to give you a refund for these changes.

    We will do our best to make sure that the painting excursion, workshop, critique and instructional arrangements we have agreed to make, perform, or provide, (as part of our contract with you) are made, performed or provided with reasonable skill and care. If a painting excursion, demo or instuction has to be modified, we will replace the given activity with another of similar or equal value.
